Senior Advisor, Research and Communications (Montreal)

The Asia Pacific Foundation of Canada is seeking a seasoned Senior Advisor, Research and Communications (Montreal), preferably, on a full-time basis but open to a mutually agreed flexible work schedule arrangements to enhance the Foundation's profile and engagement in Quebec and with Francophone media and research circles across Canada. This position will be based in Montreal, QC, and will play a crucial role in fostering linkages between the Foundation's initiatives and relevant stakeholders engaged in the Indo-Pacific region. The selected candidate will manage the Foundations’ relations in Quebec, represent the Foundation at key events, and lead our communications and programming efforts in the province. This position will report to the Vice-President of Research & Strategy and work closely with the Director of Communications.

Major Responsibilities

Specific responsibilities will include:

  • Develop and implement strategies to boost the Foundation’s visibility and influence in Quebec.
  • Establish and maintain collaborative relationships with the Indo-Pacific chairs at Université Laval and Université de Montreal.
  • Identify and pursue partnership opportunities with relevant Quebec stakeholders in alignment with the Foundation’s goals and programming in the Indo-Pacific region.
  • Represent the Foundation at conferences, seminars, and other relevant events in Quebec.
  • Produce high-quality analytical and opinion pieces in French and English that reflect the Foundation’s priorities and research work on the Indo-Pacific.
  • Disseminate the Foundation’s reports and publications within Quebec’s policy-making, business and academic communities.
  • Organize and co-ordinate events, workshops, and seminars on behalf of the Foundation to promote its initiatives and research in Montreal, Quebec City, and Ottawa.

Desired Knowledge, Skills and Abilities

Successful applicants will have the following qualifications and skills:

  • Minimum of 8 years of relevant professional experience
  • Extensive professional networks in Quebec Exceptional writing and communication skills

Eligibility

Applicants should have a valid and legal permit to work in Canada upon application.  Preferably with a Master’s degree in International Relations or a related field or an equivalent combination of training and experience. The successful applicant will be based in Montreal on a remote work arrangement, Monday to Friday, during regular office hours.

 Compensation

The annual base salary range for this position is $75,000.00 to $100,000.00. The final salary offer will be determined based on a combination of factors, including the candidate's relevant experience and level of expertise. Additionally, we will ensure that the offer aligns with our internal equity practices to maintain fairness and consistency within The Foundation. Senior Accountant

The Asia Pacific Foundation of Canada (APF Canada) is seeking a highly skilled and detail-oriented Senior Accountant to join our dynamic team in a full-time role.

As a non-profit think tank, we rely on thorough financial management to support our mission of generating impactful research and policy recommendations. The Senior Accountant will play a vital role in overseeing and safeguarding the financial assets of the Foundation. This position is responsible for implementing full-cycle accounting practices, ensuring compliance with regulatory reporting requirements, and driving continuous improvements in the finance and accounting processes.  The position will report to the Director of Finance and Accounting.

Successful applicants will have the following qualifications:

  • Bachelor’s degree in accounting, Finance, or a related field

Major Responsibilities:

The ideal candidate will have a strong background in accounting, preferably within the non-profit sector, and a keen eye for detail. They will collaborate closely with various departments to provide accurate financial information, support budget planning, and ensure the financial health and sustainability of the Foundation.

  • Manage and oversee the full cycle accounting process, including accounts payable, accounts receivable, general ledger, and payroll.
  • Prepare and analyze financial statements, budgets, and reports to support decision-making and strategic planning.
  • Ensure compliance with all regulatory reporting requirements and standards.
  • Conduct regular audits and implement internal controls to safeguard the organization's financial assets.
  • Identify and drive process improvements to enhance efficiency and effectiveness in financial operations.
  • Provide financial insights and recommendations to senior management and Executives.
  • Assist with grant accounting, donor reporting, and fund management.
  • Collaborate with external auditors during annual audits and address any findings or recommendations.

Eligibility

Applicants should have a valid and legal permit to work in Canada upon submission of an application.  The successful applicant will ideally work out of the Vancouver, BC office on a Hybrid schedule, i.e. two days on-site and three days remote, Monday to Friday, during regular office hours for five days a week. Executive Assistant (to cover for maternity leave)

The Asia Pacific Foundation of Canada (APF Canada) is seeking a highly organized, proactive, and professional Executive Assistant on a 16-month, fixed-term, full-time capacity (to cover for maternity leave) to join our dynamic team. The ideal candidate will be an exceptional communicator, adept at managing complex schedules, and capable of handling sensitive information with the utmost confidentiality. This role is central to ensuring the CEO’s office runs smoothly, enabling the CEO to focus on strategic initiatives and organizational leadership.

Major Responsibilities:

  • Manage and optimize the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Keep a clear overview and visibility of all activity within the Office of the CEO.
  • Facilitate communication between board members and the CEO, ensuring timely and effective information flow
  • Provide support in the coordination and organization of board meetings, including preparing agendas, materials, and minutes.
  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
  • Assist with budget tracking, expenses, travel booking and preparations for the CEO
  • Exercise good judgment, discretion and confidentiality of information in managing inquiries assuring prompt and accurate responses to each inquiry
  • Coordinate visits of external guests on behalf of the CEO

Minimum Qualifications

This position will primarily provide essential HR and Office Administration support to the Director, Human Resources and Administration and general administrative support to the Operations and Partnerships division. This role is essential in ensuring the smooth operation of HR and office administration functions. The ideal candidate will be organized, detail-oriented, and proactive, an exceptional communicator, adept at managing complex schedules, and capable of handling sensitive information with the utmost confidentiality.

Major Responsibilities:

HR Support and General Administration:

  • Assist with recruitment processes, including job postings, scheduling interviews, and onboarding new employees
  • Maintain employee records and ensure they are up-to-date and accurately filed.
  • Support the implementation and administration of HR policies and procedures.
  • Handle confidential information with discretion
  • Manage the petty cash fund
  • Ensure an up-to-date employee list for the website, email distribution lists and other productivity tools
  • Support the implementation and administration of all Health & Safety programs, initiatives, and policies to ensure compliance with regulatory requirements

  • Coordinate and build rapport with Oxford building administration and security teams
  • Build good relationships with third-party service providers

  • Monitoring of office supplies inventory and placing orders as needed
  • Assist with the preparation and distribution of mail, documents and reports
  • Assist and support in planning and executing organizational events, and logistics for events, including venue arrangements, and materials preparation, in close coordination with the Events Manager, as needed

Minimum Qualifications

  • Preferably a Bachelor’s degree in Human Resources, Business Administration, or a Diploma in a related field or equivalent experience.
  • At least 1-2 years of relevant experience in Human Resources and Office Administration,  or project management preferably in a non-profit or think tank environment.
